Apollo Access (Pty) Ltd (Registration Number 2024/253025/07) (“Apollo,” “the Company,” “we,” “us,” or “our”) values your privacy. This Privacy Policy explains how we collect, use, store, and share your personal information when you use our mobile application, website, and related services (collectively, the “Platform”). By using Apollo, you consent to the practices described in this Privacy Policy.

Definitions For the purposes of this Privacy Policy

  • “Act” means the Protection of Personal Information Act, 2013 (POPIA).

  • “Device” means any internet-enabled device used to access Apollo.

  • “Service” refers to Apollo’s Platform, including the website, mobile app, and any related products or services.

  • “Information” refers to all forms of personal data, content, and information covered in this Privacy Policy.

Information We Collect

We may collect and store the following types of information:

Information You Provide:

  • Name, age, and date of birth (for account creation and age verification).

  • ID details, selfies or biometrics (for identity verification).

  • Contact details such as phone number, email address, emergency contacts.

  • Venue staff details (name, email, venue affiliation).

  • Payment/billing information where applicable.

Log & Technical Data:

  • Internet Protocol (IP) address, browser type and settings.

  • Mobile device identifiers, system configuration, carrier information.

  • Locale preferences, metadata, and timestamps of interactions.

  • Usage activity within the Platform (check-ins, OTP submissions, Buddy System, Angel Alert activations).

Location Data:

  • Venue check-ins and real-time location when using the Buddy System or Angel Alert.

Cookies & Tracking:

  • Persistent cookies to remember login credentials.

  • Session cookies to enable features and analyze usage. You may disable cookies in your browser, but some features may not work.

How We Use Your Information

We use your data to:

  • Verify your identity and allow nightlife venue entry.

  • Operate Apollo features, including the Buddy System and Angel Alert.

  • Enable safe venue interactions and staff sign-ins.

  • Communicate with you regarding updates, OTPs, and security alerts.

  • Provide anonymized insights and analytics to venues and alcohol brands.

  • Display relevant offers, specials, and advertising.

  • Prevent fraud, abuse, and unauthorized access.

  • Comply with legal and regulatory requirements.

We may also use anonymized and aggregated data for research and service improvements. We will never sell your personal information.

Sharing and Disclosure of Information

We may share your information in the following circumstances:

  • With Venues & Event Partners: to verify entry, manage staff access, or confirm attendance.

  • With Emergency Contacts: if you activate the Angel Alert or safety tools.

  • With Trusted Service Providers: who help us with hosting, SMS delivery, analytics, or identity verification (bound by confidentiality agreements).

  • With Fraud and Security Partners: to detect, prevent, or investigate potential fraud, identity misuse, or security risks. Limited technical or device data (such as identifiers or location, if enabled) may be shared only for these purposes.

  • With Authorities: if required by law, court order, or urgent safety needs.

  • With Brands & Partners: only in anonymized/aggregated form for analytics and sponsorship insights.

Your Rights

In accordance with POPIA, GDPR, and other applicable laws, you have the right to:

  • Access the personal data we hold about you.

  • Correct or update inaccurate details.

  • Request deletion of your data.

  • Restrict or object to processing.

  • Request data portability (a copy of your data).

Data Retention

We keep your information only as long as necessary to:

  • Provide the services you requested.

  • Comply with legal and regulatory obligations.

  • Resolve disputes and enforce agreements.

When no longer needed, your data will be securely deleted or anonymized. Backups may temporarily retain some data for compliance and technical reasons.

Security

We implement appropriate technical and organizational safeguards (encryption, secure storage, limited access controls).

However, no system is 100% secure. While we strive to protect your information, you use Apollo at your own risk.

Children’s Privacy

At this stage minors (individuals younger than 18 years) are not permitted to activate an account on the Apollo Platform.

Compliance with the Act

This privacy policy is governed by, and interpreted in accordance with, the Protection of Personal Information Act 2013.

Updates to This Policy

We may update this Privacy Policy from time to time. If changes materially affect your rights, we will notify you (e.g., via email or in-app notice). Continued use of Apollo after updates means acceptance of the new policy.
